Festival: Terms & Conditions

1. Definitions
The following terms and conditions apply to individuals (“you”) who apply to attend the Festival of Calligraphy organised and provided by the Calligraphy & Lettering Arts Society – CLAS (“we” or “us”). CLAS is a Registered Charity No. 1046526. Please make sure you have read and understood these terms and conditions before enrolling on the CLAS Festival of Calligraphy.

If you have any queries or need to contact CLAS in connection with the Festival, please email festival@clas.co.uk. Communication should be by email only.

2. Acceptance of Terms and Conditions
When you complete the registration form for the Festival of Calligraphy, you are applying for a place and you agree to be bound by these terms and conditions.

3. Data Protection
When completing your registration, you will provide us with data about yourself. We will store this data and use it to contact you, provide you with details of the workshops you have applied for, and as otherwise required during the normal provision of the Festival. We will also keep your details on our mailing list to inform you of future Festivals. If you object to this, you can unsubscribe at any time.

We will not pass any personal data on to anyone outside of CLAS and will comply with the Data Protection Act 2018 and any other relevant legislation.

Some workshops may be photographed and/or shared online. By taking part in the Festival, you consent to the use of this media in such a manner. If you do not consent, please inform CLAS as soon as possible before the Festival commences.

4. Acceptance of a Workshop
CLAS places a limit on the number of students per workshop, so we cannot always guarantee you a place. To be accepted onto a workshop, you need to complete the registration form and submit the full deposit payment in advance of the Festival commencing.

Once both registration and deposit payment have been received by CLAS, you will receive enrolment confirmation by email. Only once confirmation has been issued and accepted will you have a place on a specified workshop.

We will make every reasonable effort to place you in at least one of your first-choice workshops. Acceptance on one first-choice workshop will not mean that you are automatically accepted on the other first-choice workshop you have applied for.

CLAS reserves the right to refuse entry to and/or remove anyone from a workshop or from the Festival as a result of unreasonable and/or unacceptable behaviour. Participation in a workshop is personal to the student to whom the place is allocated and cannot be transferred to another person.

5. Payment
The fees for attending the Festival of Calligraphy will be as advertised on our website and/or publicity materials, and stated on your registration form. The fees cover tuition and handouts but do not include materials (unless expressly stated otherwise). You will be responsible for supplying your own materials.

Payment will be made through PayPal, either through your account or by credit/debit card. Please use your full name as a reference to make it easier to recognise your payment. Payments may also be made by bank transfer or cheque.

CLAS will provide confirmation of your place once your deposit payment appears in our records.

6. Refunds
If you need to cancel your booking, you must notify us as soon as possible by emailing festival@clas.co.uk.

Our refund policy is as follows:

  • Deposit of £70 is non-refundable.
  • For cancellations on or before 1st May before the Festival, we will refund the full fee less the deposit.
  • Your cancellation date will be the date we receive your email notifying us of your intention to cancel.
  • In the event of complete cancellation of the Festival, your deposit and CLAS balance will be refundable unless significant costs have already been incurred due to contractual obligations.
  • Payment made for accommodation is governed by the venue’s refund policy, and the venue should be contacted directly.

7. Variations to the Workshops
We are committed to running Festival workshops as advertised but reserve the right to change the tutor running the workshop, or change the venue if necessary. Any replacement tutor will have the requisite skills and knowledge, and any replacement venue will be of an equivalent standard.

8. Cancellation of a Workshop
CLAS reserves the right, due to events outside its control, to cancel a workshop in its entirety. In such circumstances, CLAS will refund the full payment made in respect of that workshop and will give as much notice as reasonably possible.

9. Copyright and Access to Workshop Resources
Each tutor is the owner of the copyright for their resources, including handouts, presentations, and recordings. You must not share, reproduce, or transfer any of these materials, in part or in full, to another person. Any violation of copyright and unlawful use of tutors’ resources will be a breach of civil or criminal law, and appropriate legal action may be taken.

10. Governing Law
All these terms and conditions shall be governed by English law. By accepting them, you submit to the exclusive jurisdiction of the English courts.

11. Responsibility for Injury or Loss
CLAS will not be responsible for any injury to, or loss from, any person at the Festival venue.

12. Food Allergies
It is the responsibility of each person attending the Festival to notify the operator of the Festival venue of any food allergy. CLAS shall have no responsibility in this respect.
